Your role:

The Sales Operations Specialist plays a pivotal role in supporting our sales and revenue operations through process management, data integrity, and system administration. This role ensures the accuracy of customer records, sales orders, forecasts, commissions, renewals, and CRM data across HubSpot and NetSuite, enabling our sales and leadership teams to make informed, strategic decisions.
Your responsibilities: 
Sales Order & Revenue Management 
  • Generate, validate, and maintain Sales Orders for new and existing customers in HubSpot and NetSuite. 
  • Track and update Annual Recurring Revenue (ARR) and renewal timelines. 
  • Review and adjust Sales Orders in accordance with Consumer Price Index (CPI) updates. 
  • Manage deal documentation and ensure all required materials are complete and accurate. 
Forecasting, Commissions & Reporting 
  • Generate and analyze weekly forecast reports for senior leadership. 
  • Administer monthly commission processes, including data extraction, calculation, and multi-level approval workflows. 
  • Design and deliver tailored reports to meet the needs of sales, finance, and leadership teams. 
  • Monitor and analyze historical deal data to identify trends and ensure accuracy. 
Pipeline & Renewal Operations 
  • Build and maintain the renewal pipeline by forecasting and incorporating future-year opportunities. 
  • Partner with internal teams to manage partner deals, update order forms, and provide pipeline forecasts. 
  • Respond to contract-related inquiries with clear, data-backed insights into billing history and invoicing schedules. 
Data Integrity & System Administration 
  • Manage and reconcile customer records across HubSpot and NetSuite, ensuring accuracy and consistency. 
  • Conduct monthly audits of CRM data to verify ownership, data completeness, and relevance. 
  • Administer user access and permissions in PandaDoc, HubSpot, and NetSuite. 
  • Maintain up-to-date tax form records across all platforms. 
Enablement & Training 
  • Onboard and train new sales representatives on HubSpot and NetSuite workflows. 
  • Support data imports, updates, and alignment projects related to sales territories and reporting. 
What you’ll bring to the team:
  • Experience: 2–3 years in sales operations, revenue operations, or business analytics within a SaaS or technology organization. 
  • Technical Skills: Proficiency with CRM and ERP systems—particularly HubSpot and NetSuite. Experience with Smartsheet, Excel, or similar reporting tools a plus. 
  • Analytical Ability: Strong attention to detail and analytical mindset, with the ability to identify data trends and inconsistencies. 
  • Project Management: Able to prioritize multiple tasks, manage timelines, and drive cross-functional initiatives to completion. 
  • Communication: Excellent written and verbal communication skills, with a collaborative approach to problem-solving. 
  • Adaptability: Comfortable navigating change in a fast-paced, growth-oriented environment. 
  • Education: Bachelor’s degree in Business, Marketing, Finance, or a related field. 
  • Mindset: Proactive, curious, and eager to continuously learn and improve operational processes. 
Work Location:  
Remote. Some travel may be required.

Compensation:
The compensation offered for this position will be based upon relevant experience, qualifications, and work location. The expected salary range for this role is $60,000–$80,000 annually.
